User Manager
The User Manager program is typically used by employees with high security levels, or have been granted access. In this program, employees can add users, alter the permissions of other users, and delete users. The User Manager is the program that stores staff information and enables and disables access the programs depending on their job and responsibilities. The screen can be split into two parts; Staff Access details and Staff Contact Details. Staff Access Details Within the Staff Access details are fields that dictate what the user can access within the POS Works system. Field Name Description User Code This code will appear on the registers to identify who is logged on. The user code field will only accept letters, numbers, and underscores (_). The user code must be unique for all users, no two users may have the same code. Last Name This is the surname of the employee. Global User When tagged, will enable the user's code to be used at any store. Please be mindful that the Security Level and selected Security Preset will apply to all locations. This is set at HO. First Name This is the given name of the employee. Middle Name This field in not compulsory. In this field would be any other given names or middle names of the employee. CSP User Number This is the user ID number the employee will use to log into and use POS Works programs. The CSP User Number cannot exceed more than 8 characters. The CSP User Number must be unique for all users, no two users may have the same code. CSP Password This is the Password the employee will set and use to log onto POS Works. This password will be used for all applicable POS Works programs and accepting changes of any kind (if applicable). Location The store that the employee works at. This field usually defaults to the location the POS Works program is being used at. Security Level Security Levels are used by the CSP Register to control user access to various Register functions. HO can set Register Security Level. 1 is the lowest number; 9 is the highest. Security Preset Security Levels can be set automatically using this field. Security Presets are usually created to suit job position. For example, a manager will have different permissions to a sales assistant. Security preset can be changed by Head Office. . Programs These are a list of programs within POS Works. If a Preset is selected, this window will indicate which programs the preset can and can not access. If no preset is selected these checkboxes can be tagged manually to adjust program permissions for the individual user. Staff Contact Details This is where all contact/ personal details of the staff member can be kept. Field Name Description Address The address of the employee. In this field enter the street number, the street and suburb. City The city the employee lives in. State The state the employee lives in. Email The employee's email address. Phone The employee's phone number. Mobile The employee's contact number. Fax The employee's fax number. Position The employee's job title. Employee Number A company employee ID number. Employment Start Date The date the employee started working for the company. Employment End Date The date the employee finished working for the company. Comments Any comments about the employees, such as; Medical conditions, birthday, times that they are unavailable, etc. Basic Functions Listed below are guides on usage for both Store and Admin Locations. User Manager: Global User
A Global User can easily utilise their POS and DW login credentials at any Blooms The Chemist location. This can be enabled for: Existing staff members who work across different locations. Staff members who have transitioned to employment at multiple locations. Locum pharmacists who have previously worked at a Blooms The Chemist location. Please note that only Head Office has the authority to designate users as Global Users. To request Global User status for any staff member, please submit a Service Request containing the following details: Full name of the staff member. CSP user number or POS user ID. The original location where the user was initially set up. Any necessary changes to the user's role or permissions. Please be aware that this function may take up to 30 minutes to replicate to store, so it's important to allow sufficient time before the staff member begins their shift so this can be actioned at HO.

Create a new staff member in POSWorks
Tip: If the user already has a profile but is assigned to another store, there are 2 options to follow: 1. Tick on Global User so they are able to access their profile from both sites 2. Update their location if they will only be working out of the location they moved to 1. Log onto System Menu 2. Select 'Management' 3. Select 'User Manager' 4. Enter credentials 5. Select 'New' [F2] 6. Enter in all available information into the user information section 7. Select 'Save' [F3] 8. Enter the Required Fields: • User Code (Firstname_letteroflastname, ie JOHN_S)* • Last Name • First Name • CSP User Number (Recommend users DOB or some stores will assign a loyalty card for them to scan) • CSP Password (Recommend making it the same as the User Number) • Security Level (Need to have it as 9, anything lower they will not be able to sign up new loyalty at the register) • Security Preset (they can select an option from the drop down, or leave it blank & tick what they will be allowed to access) * When entering the User Code, if it already exists against another team member a error box will appear. You can just keep adding letters from their last name until there is an available option. (ie, JOHN_SM)

Creating a New User in Dispense Works
Once the user had been added to POS you will then need to set their profile up in Dispense works, to allow them permission to Dispense Scripts. 1. Open Dispense Works 2. Click 'Tools' at the top left 3. Select 'Staff' 4. Type the team members Last Name into the User Search Field 5. Select the correct user & double click to open. 6. Select the Dispense User Type 7. Enter User Initial 8. Fill in 'AHPRA Number' (only the user/store can supply this) 9. Under 'HPII Status' click Refresh (this should auto fill the Number & Status fields) Note: Only Pharmacist will have a AHPRA number. If the user is not a pharmacist label them as either Dispense Tech or Pharmacy Assistant 10. Select 'Reset Password 11. Enter Credentials 12. Pop up will appear, click OK 13. Another pop up will appear, click YES 14. A Change Password window will appear, right click the mouse & paste in the the 'Old Password' box 15. User will need to create a password meeting the criteria listed 16. Save Changes 17. Click OK 18. Screen will go back to DW Profile, Click Update User Tips and Tricks: Once updated, close out of Dispense Works and re-open, getting the user to sign in to confirm profile has been set up correctly. Ensure that User Manager in POS Works is closed before creating a password in Dispense Works - Otherwise the Reset Password window in Dispense Works will never appear. In Step 14, please remember that the "Old Password" is randomly generated and will copied to the clipboard, which requires you to only paste in the "old password".
